Okay some of you already know what happened at Max Lagers regarding the final bill.

To make a long story short- we were off by $800.


The bill had State Food tax and Liquor tax (which I anticipated and was prepared to pay myself as I figured it would be a couple of hundred dollars). It was in fact $215 for the food, but I cannot recall the amount for liquor.

However in addition to taxes we were charged a $135.00 dollar Service Fee-

And a $405.00 Gratuity was added on top of everything.

I'm still not sure how the miscomunication/misunderstanding came about. We asked to see the contract again about the gratuity which was the big dispute.

They showed us everything they had but one page appeared to be missing.

Derek's wife began crunching numbers. It appeared that there was a discrepency on the Gratuity- that it should have been based on the amount before taxes not after. However this would only knock the final amount down by $100 or so.

The Max Lagers liason who was handling our party got the manager to go over it with us.

In the end it was determined that there was a misunderstanding between the way the contract/payment was handled last year with Dom, and this year with Derek and I. Last year Dom was given an all inclusive final price (for apprx 50+ people) with which he came up with a dollar figure for each person. This year the contract was based on a per person price before all taxes were added. It was this per person price before taxes/gratuity etc that I posted for payments.

Well before Dragon Con I asked Dom if there was any additional charges beyond the payments he recieved last year from each person- he told me no, it was a fixed price and that all the money he collected was exactly what was owed. I'm sure this is where I went wrong as I was under the impression it would be the same this year.

To further complicate things, the manager who handled it with Dom last year, gave the job to a new woman this year who was unfamiliar with how things went last year.

Because of the misunderstanding the manager was willing to drop the $135 service fee on the promise that we would be back next year. This brought the amount owed down around $700.


So here is how it was handled Saturday night as we had to come up with the money on the spot:

Myself, Dom, Doc, and Frank put in as much money as we could. Derek put the remaining chunk (which was around $350) on his Paypal credit card.

So that night word started getting around at the hotels what had happened, and some people immediately started chipping in to reimburse the money for the people who hepled at Max's. Those who already chipped in know who you are. It is greatly appreciated.

Now here is the resolution-

The amount that we were out by ended up being $16 per person. Because I had asked everyone in advance to thrown in 2-3 dollars for a tip (some of you put in more) we are asking for $13 to be posted to Derek's Paypal account.

However we have to make sure that he does not get hit with any Paypal fees and loses money. I'm pretty sure that there is a way to select "other" instead of "Goods and Services" which should wave the fees. I was also told (briefly) that there is an option to have the sender pay the fees and not the person receiving the money- but I'll need someone to chime in on how to do it (I believe Lottie told me about this).

Those who chipped in to help after hearing what happened do not have to pay this amount- you've already helped and like I said we cannot thank you enough.

Doc has been reimburse the majority of funds he chipped in. I have gotten back all that I need/am willing to accept. I do not know how much Frank and Dom are out by.

By assuming that the way the contract would be handled this year would be the same as last year- this fiasco is my responsibility. Bottom line is I screwed up. I can only apologize profusely for the confusion and having to ask for additional funds from the group.

I guess that's all for now.

Kevin, far be it for me to comment on the situation itself, as I was not there.
But, this sounds like a very honest mistake. I am certain your otherwise forthright and honest reputation will remain unblemished by this :)

I think the service charge was the "setting up" of the room...in which this was yet another thing they never mentioned in the contract...thats why they dropped it.

I selected Personal and then Other, which then defaulted (for me) to me paying the fee ($0.13 on $13), with Derek getting the $13 as required. :)

I collected $60 in total from Mr and Mrs Potter and Cooter.

I also collected $40 from Tempest and Azapane.

I returned $40 to Doc for the money he helped with in that night. I do not need to receive anymore for myself.
